A new HR desktop and mobile app solution from transport
management software specialists Mandata will provide
improved visibility and control of the driver workforce and
costs, making life simpler for road hauliers and logistics
operators.
Previewed at this year’s CV Show, the HR app will allow drivers
to update their shift hours, submit leave requests, easily report
sickness and absence, and upload expenses and receipts - enabling
employers to keep better track of driver availability and costs far
more easily and effectively.
Approved holiday requests will feed directly into the Traffic
Management Driver Calendar withinMandata TMS and TMS Go! so
that Traffic Planners can quickly identify who is available to work
a shift.
The app consists of three core features - timesheets, holiday and
leave, and expenses – which can be activated optionally. The
service can also be quickly accessed by authorised HR personnel
and utilised through dedicated management screens, offering
dashboard-style reporting and centralised management.
Within the timesheet function, a selection of four time recording
options are available to meet either individual driver needs or
corporate level requirements: shift totals only; per shift with
activities; per load, or per job.
Enhanced coordination and control of drivers’ availability is also
a key benefit through a selection of options that track and record
days off, requests for leave as well as unused holiday allowance. The
system also records the number of days a driver has taken as sick
leave in a given period.
A ‘claim expenses’ section; records the date, type, amount and
payment method for each claim. The status of expense claims is
also shown in a colour-coded dashboard-format, clearly broken
down for easier understanding. A receipt button also opens the
smartphone camera to take a photo of the receipt for added
functionality.
The app is one of the newest integrated innovations to come from
Mandata. Kevin Marshall, development director, explained: “We’re
helping operators by making life simpler for them and their drivers.

“The app is one of a series of apps connecting driver activities to
the admin, traffic and HR office. Key information recorded in one
paperless system ensures everyone is kept informed, leading to far
greater understanding and visibility and smoother processes.”

giving transport operators adirect link to their driverworkforce
providing instant messaging capability.
Logging in to the service enables back-office staff to communicate
easily with drivers. Likewise, drivers can send messages to
authorised recipients too. Through the use of user groups you’re
able to communicate with a number of users at once. Additionally,
you can control who each user or driver can communicate with. A
full audit trail of sent messages is also available, including when
they were sent, received and opened.
In the office, when a message is received a notification will appear
in the user’s task bar, similar to the way MS Outlook alerts you to
new emails. The driver’s phone will also receive a notification in the
task bar as well as within the app itself.
The haulier’s administrator can manage the message groups via
easy-to-use management screens to control and coordinate who
can communicate with each other. Messages are downloaded
and presented in a simple, easy-to-follow chat style interface with
speech bubbles for added clarity and reference when the driver logs
in. Unread chat streams are also highlighted.
Safe and secure driver messaging with end-to-end- encryption
is part of a package of easy-to-use integrated app-based services
and features from Mandata that enable drivers to receive work
instructions and see at-a-glance via a smartphone, the sequence
of jobs and manifest details, which can be updated with changes
throughout the day. With the ability to capture proof-of-delivery
