The DGN contains specified information about the consignment including, for each product, UN number, Proper Shipping Name (PSN), Packing Group, Hazard Class(es), packaging details, tunnel code (if necessary) and details for both the consignor and the consignee. The Instructions in Writing is a prescribed document that must be accessible to the vehicle’s crew and be printed in a language that they can understand. Prosecutions and safety concerns aside, there are many more occurrences when consignments are prevented from continuing their onward journey because the paperwork is not in order. These delays can cause reputational damage and incur significant commercial costs - particularly when shipments are multimodal. Shipping lines and aircraft operators impose their own fines and charges to those whose consignments have incorrect DG information, labelling or marking. This is understandable as the consequences of an incident involving DG on board a vessel or in an aircraft can be catastrophic. To help minimise manual data input when generating DGN’s, a consignor’s full portfolio of products can be uploaded into DGOffice so that all the information relating to any product can be added to the DGN with just a couple of clicks! For larger organisations, DGOffice can be embedded in, or be linked to, ERP systems. The software is accessible online by logging inwith a username and password. The appointed Administrator(s) in a business can add as many Users as they like. However, only one person can access the system simultaneously per licence purchased. Additional users can be anywhere in the world and, importantly, the interface (and the pertaining regulations) are in the language of the country of the browser fromwhich the user accesses DGOffice. DGN generated in DGOffice Documents can be created either from the shipper’s own data or by searching for the relevant UN number(s) in the built-in dangerous goods database. From here, if required, DG information for each product and for all modes can be accessed, including: Vehicle Placarding, Special Provisions, Segregation, Limited Quantity thresholds, Operator and State Variations etc. The next step is to choose the mode of transport and then to populate the information relating to the journey. Consignor and Consignees’ details can be saved in DGOffice and can be uploaded with a single click. The Packing Wizard enables you to “build” your consignment and, once the data is OK, you can print the document as a PDF or send it as an XML file for e-Freight. *Source: HSE
